We are looking for a dynamic, flexible and organised individual to join our team as Health and Wellness Co-ordinator.

Health and Wellness is of the utmost importance to Dartford and Gravesham NHS Trust, the NHS People Plan and our own Trust People strategy “Joy at Work”, which has a strong focus on delivering a wide range of health and wellbeing initiatives to support the health and wellbeing of our staff.

This is an exciting and varied role with lots of opportunity to use your initiative and to further help shape the future of services provided to our staff. The postholder has a multifaceted support role and will cover many aspects of the Health and Wellness services working with an extensive remit.

We are looking for someone with a strong admin background, as the successful postholder will be required to deputise for the Administration Manager and act as admin lead for a number of projects such as menopause clinics and acupuncture. They will also be expected to line manage the clerical officers and support with the wider Health and Wellness transformation programme.

Main duties of the job

This job role is a multifaceted supportive role and will cover many aspects of the Health and Wellness service working within an extensive remit; the staff member will need to work closely alongside other team members to support Trust staff and to those with whom we have a service level agreement.

The post holder will work to promote person centred welfare for service users and to assist in providing a safe caring environment where staff feel valued and supported. They will act as the initial point of contact for the Trust’s own Time to Talk team and will also work closely with the visiting counsellors who provide some of the Trusts programmes.

One of the key aims of this role is to proactively support and promote a variety of wellness programmes, support groups and forums designed to encourage healthier lifestyle choices in the workplace and supporting the health and wellbeing of employees.

The postholder will be responsible for exploring alternative wellness initiatives, including (amongst others) SiSU Health, smoking cessation programmes, exercise and diet programmes and Wellness assessments and Healthchecks.

Administrative lead for Wellness projects currently including:

Menopause Clinics and M Cafes

Sleep Studies

Acupuncture

Reflexology

Ensure timely appointments are made and clinics are set up alongside Consultant timetables and that follow up surveys are sent out and completed and all queries are reviewed and escalated as required.

Provide up to date information with trends/analysis of the Health and Wellness projects.

Ensure clear and accurate records are kept using the e-OPAS database.

Deputise in the absence of the Administrative Manager with regard to receiving complaints and service queries, using acquired knowledge to ensure the appropriate person is made aware.

Daily organisation of the contacts made by Trust staff answer phone/emails /post and walk-ins, ensure timely appointments are made as requested.

Supervision of the daily activities and updating staff information

Arrange weekly diary sessions with Occupational Health Physician ensuring that relevant letters and reports have been received and records are ready. Action if there is any information missing.

Ensure emails received during the day are dealt with in a timely manner and telephone calls are actioned promptly and efficiently.

Ensure staff attending the Health and wellness department are dealt with quickly and efficiently and that the reception area is kept clean and tidy

Ensure details of starters and leavers are checked and where necessary appointments are sent out accordingly on a monthly basis.

Utilise ESR system to check staff personal details are up to date and correct.

Demonstrate duties to new starters; and ensure correct training and competencies are completed in a timely manner

Process DATIX incident forms accurately and efficiently, ensuring staff receive a response in a timely manner

Day to day line management of the clerical officers including regular 1 to 1 meetings, annual appraisals, sickness absence and annual leave.

Work with the Head of Health and Wellness/Administrative Manager to develop the Health and Wellness transformation programme

Ensure that Trust policies and procedures relating to staff are maintained

Participate and contribute to team meetings

Utilise the Trusts Intranet, E-mail and Internet to ensure relevant information is disseminated in a timely and appropriate manner, as agreed with the Administrative Manager

Initial point of contact for the Time to Talk team

Ensure leaflets and associated literature for the respective clinics are available, ordering additional supplies as necessary

Using Healthroster, calculate the cost of manpower for the respective projects

Co-ordinate client activity data from the external counsellors on a weekly basis and upload their weekly hours to healthroster

Liaise with KMPT for their client activity data

Support with analysing and evaluating each programme, providing charts and reports for the Trust Leadership Team
