Main duties of the job
Provide proficient and comprehensive PA support to the Deputy Director
Assess, prioritise and organise own workload to ensure deadlines are observed and duties performed efficiently
Maintain diaries using Microsoft Outlook and operate a bring-forward system
To autonomously assess, prioritise any emails using personal judgement to action, problem solve and escalate as required appropriately
Develop and maintain office support systems and procedures
Assess correspondence for priority and actions, ensuring urgent items are managed accordingly. Where appropriate, compile letters and respond on behalf of the Deputy Director
Respond to telephone enquiries and emails using personal judgement to action, problem solve and escalate as required appropriately, paying particular attention to confidentiality and public relations
Respond to patient telephone complaints in an efficient, sympathetic manner and ensure all formal complaints are processed
Undertake fact-finding and dissemination of information as required and defined
Prepare agendas and collate relevant attachments, attend meetings and take minutes and action trackers for meetings chaired by either the Deputy Director. Ensure the venues and technology used is appropriate and agendas, minutes and papers are distributed in a timely manner, acting as central liaison point to co-ordinate all parties involved.
