Job summary

The post holder will provide basic administrative support and assist in the effective and efficient running of the Administration suite. They will work under general supervision to provide support to the Practice Team. They perform general administration duties as assigned.

Main duties of the job

– Receive, sort and distribute mail.

Establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.

File/scan patient records and correspondence in patient medical records.

Receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

To maintain the computer clinic system in an accurate and secure manner.

Photocopy patient notes, print out scanned letters and forward to Solicitors working within the practice protocols and policies.

Ensure all emails are dealt with accordingly & are promptly taken to the relevant department.

Ensure all letters are franked and ready for posting. Take franked mail to post office prior to 4.30pm each evening.

In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties.

Demonstrate knowledge of operation of modern office equipment

At the start of the day when first to arrive, make all necessary preparations to receive patients.

When last to leave at the end of the day, ensure that the admin area is totally secured, computers logged off.

Undertake any other additional duties appropriate to the post as requested by the Partners or Management.
