Senior Facilities Administrator

We are recruiting for a Senior Administrator / Facilities Coordinator based in Leeds to work with a large scale FM and Building Services company in their service delivery team.
The position with be linked to a principle account and providing administrative and client servicing support to the account.
The role is a temporary ongoing position (possibility of a permanent vacancy).
Mon-Fri 8am-5pm 40 hours per week
£15.00/hr basic hours

Description:
The Contract Coordinator provides support, processing and helpdesk administration to the Facilities Management service on a national account.
Allocating reactive/quoted works to engineers and scheduling the work in
Obtaining relevant order number/instruction for quoted works, ensuring all documentation and customer approvals are attached to the project log
Rescheduling of reactive/quoted works as necessary
Processing of quotes
Processing of service POs for all sites
Quotation POs to raise and issue
Completion of Blocked invoice report
Run WIP & Aged WIP
Update KPI report
Update Project tracker
Raise Proforma invoices & check for payments & raise VAT invoices
Complete Landlord contract setup & renewals
Updating service PO tracker
Keeping track of application and chasing outstanding applications
Client Monthly reports
Client quarterly & Annual reports
General email & phone call enquiries
Weekly account meetings with Account manager
Monthly P&L account meetings
Instructing subcontractor to carry out reactive callouts, and seeing the call through to completion
Management of engineers workloads, holidays and absences in conjunction with line managers
Ensuring all relevant documentation/paperwork is attached to the reactive job so call can be invoiced
Management of reactive call outs
Allocation of PPM works, scheduling works into engineers planner
Ad-hoc administrative and helpdesk duties

Requirements:
Ideally to have previous experience of service delivery support on maintenance, engineering or facilities sectors
Previous contract administration experience
Excellent data entry and data management skills
Planning and scheduling skills
User of account systems (such as CAFM based systems) and PO generation
Good administrative skills
Good helpdesk skills
