Band 3 Team Secretary required on a temporary basis based in Anrtim

Role: Band 3 Assistant/Secretary

Rate of Pay: £10.40 per hour

Location: Antrim

Hours: 37.5hrs

Duration : Temporary

Main duties/Responsibilities:

  • Audio, digital dictation and copy typing of letters, reports, minutes and memorandums, prioritising and carrying out work-processing duties to a high standard of accuracy and presentation.
  • Take notes and /or minutes of any LAC meetings, at base or other locations as required.
  • The issue, recoupment and management of petty cash and Trust monies in accordance with the Trusts Standing Financial Instructions
  • Provide a full range of secretarial support for the professional staff as required, eg maintaining diaries (electronic and manual), organise and prepare meetings as appropriate, etc.
  • Dealing with telephone queries, accurate recording and delivering of messages as quickly as possible
  • Liaise with outside bodies and multidisciplinary agencies within the directorate, dealing with enquires as appropriate
  • Collecting and collating statistical information and production of reports as required in line with targets.
  • · Research, collation and presentation of information and reports as necessary.

  • Develop, maintain and update spread-sheets and databases using the Microsoft Office Suite
  • Input and retrieve appropriate information from computerised systems. i.e. SOSCARE/Child Health System
  • Use the Trust and Department Technology in line with the Trust’s Information Management and Technology Strategy
  • Maintain office machinery (eg photocopiers, fax machines, computer equipment, etc) ensuring daily use meets requirements within the Trust’s Data Protection Policy.
  • Photocopying duties, processing of internal and external mail.
  • Maintaining adequate supplies of stock/non-stock items
  • Maintain confidentiality within and without the workplace within the Trusts Data Protection Policy.

  • Provide cover as required for other secretarial/administrative staff during periods of absence or excessive workload
  • Assist in the training of other administrative staff within the division
  • Adherence to operational procedures within the division
  • Prepare files, undertake routine filing duties and maintain an efficient and up-to-date record keeping system in accordance with the Trusts Records Management Policy
  • Be a named Record’s Officer and implement the Trust’s Records Management Policy
  • Through his/her own actions ensure adherence to the principles of Equality and Human Rights legislation
  • To undertake any other duties within the division and within the band which may be assigned from time to time
  • Essential Criteria:

    * Applicants must have:-

    *(a) 4 GCSEs to include English (Grade A*-C) or equivalent AND 1 year’s clerical/secretarial experience in an office environment to include the use of the Microsoft Office suite of packages and experience in minute taking

    OR

    *(b) GCSE English Grade A*-C

    AND

    2 years’ clerical/secretarial experience in an office environment to include the use of the Microsoft Office suite of packages

    AND

    Experience of one years’ minute taking.

    *In addition to (a) or (b) applicants must possess OCR Text Processing (Business Professionals) Level 2 Award or RSA Stage II Typing/Word Processing (both parts) or equivalent.

    Holders of RSA/OCR examinations after September 1986 must have passed both parts. Part qualifications are not acceptable. This must be clearly identified on application form.
