Our client, a leading infrastructure and oil company, is looking for an experienced team assistant to join their vibrant and fun team.

This successful Team Assistant be responsible for the smooth running of the office, liaise with visitors, manage couriers, order supplies, schedule meetings, multiple diaries, scheduling travel, processing expenses, and assisting with all other necessary support. It is essential that the Team Assistant has excellent interpersonal communication skills as well as the ability to solve problems and think on their feet.

We’re looking for individuals with strong attention to detail, excellent organisation skills, as well as a passion for helping others. Friendly individuals with a positive, can-do attitude will do well in this role. Only full-time roles are available.

Pay: £15 – £16 per hour

Duties and Responsibilities:

  • All case team administration.
  • Arranging couriers and taxis.
  • Expanses management.
  • Assist with business development tasks.
  • Organising international visas.
  • Providing secretarial support to the team (audio and copy typing, binding, copying, helping to pull together reports etc).
  • Manage and organise associated travel and accommodation requirements for executives, in support of the PA’s and Office Manager.
  • Covering EA leave or holidays.
  • Format documents.
  • Assist with inductions for new starters.
  • Answering and screening phone calls.
  • Scope for involvement in projects.
  • Preparation of the weekly training and liaising with the relevant line manager.
  • Providing general administrative support to the National Accounts team.
  • Looking after meeting room booking system.
  • Your qualifications and experience:

  • Tact and discretion.
  • Self-confidence.
  • Positive work ethic.
  • Recent demonstrable experience supporting senior individuals with extensive diary and international travel arrangements.
  • Supervision of couriers for confidential documents and papers.
  • Detail orientated.
  • Self-starter with the ability to work independently and with minimal guidance.
  • Microsoft office skills.
  • Outlook.
  • An ability to prioritise is key as is the ability to manage a broad range of tasks.
  • Ability to demonstrate attention to detail.
  • Demonstrable experience in a similar team assistant support position.
  • Experience of working with a wide variety of people.
  • Microsoft SharePoint.
  • Ability to deal with a heavy workload
