Office Co-Ordinator

Hales Group are currently working with one of the leading electronic manufacturers in the world, they are based in Halesworth and supply all over the globe including UK, Europe, India, S/E Asia, Northern Africa and South Africa. Our client is looking for a Office Co-Ordinator to join them within a busy Sales department.

Role Responsibilities for the Office Co-Ordinator:

  • Provide excellent customer service and admin support to the Sales Manager
  • Process simple and complex customer orders
  • Organise the workload for the engineers
  • Work and manage the customer online portals where required
  • Submit order confirmations, proforma invoices and order dispatch information
  • Deal with customer requirements, returns and enquiries by phone and email
  • Calculate stock availability and complete stock checks
  • Liaise with the purchasing department and warehouse/transport team regarding delivery times
  • Check customer credit status with the accounts department
  • Raise and submit quotations
  • Support the wider teams with daily tasks as required
  • Complete reports for customers or the Sales Manager when required
  • Attend meetings with customers as required (direct and online, zoom / teams etc.)
  • General office admin duties

Requirements for the Office Co-Ordinator:

  • Previous experience in administration and customer service support
  • Excellent level of customer service
  • Able to use your own initiative and be pro-active
  • Strong written and verbal communication skills
  • Knowledge of SAP or SAGE
  • Able to co-ordinate workloads
  • Worked with different currencies/cost conversion would be preferred
  • Able to build strong working relationships both internally and externally
  • Proficient with Microsoft Office, especially Outlook and Excel
  • Ability to work with minimal supervision
  • Confident and professional telephone manner
  • Strong attention to detail
  • Ability to prioritise, organise workloads and manage multiples tasks
  • Product training will be given
