1. PURPOSE OF JOB

The purpose of this role is to provide effective and professional front of house service to tenant and all other visitors

2. PRINCIPAL ACCOUNTABILITIES

� To deal with all enquiries including; face to face, email, telephone and web site quickly and efficiently in a professional and constructive manner

� To maintain a professional and friendly service to all customers and users of the Beacon to meet their needs and expectations

� To arrange refreshments and resources i.e. projector, flipcharts, microphones as needed

� To work with the Events Team to facilitate events in the function suite

� To ensure good housekeeping of all communal areas at all times

� To collect customer feedback and help identify areas for improvement

� To be the first point of contact for all building visitors

� To be responsible for customer care and answering telephones

� To ensure good housekeeping of the reception areas at all times

� To record meeting room bookings on the internal booking system with the support of the events team

� To be responsible for an up to date list of tenants and staff

� To maintain the contractor book including car registrations

� To collect and distribute incoming and outgoing post

� Receive deliveries and complete necessary paperwork

� To provide a call answering service to virtual tenants

� To providing a printing service to tenants and members of the public

� Updating tenant signage

Administration

� Typing and data entry

� Filing and retrieving information

� Issue door security cards

� Manage and maintain stocks of stationery

� To support customer service officer with tenant inductions

� To be involved in basic marketing activities, including identifying website updates, social media posts, newsletters, brochures and relevant publicity materials.

This role exists to support the running of the building by providing exceptional front of house service to tenants and customers

5. KNOWLEDGE AND EXPERIENCE

� Prior experience of reception work, administration work and customer service

� Ability to prioritise tasks

� Accurate with a good attention to detail

� Able to show initiative

� Excellent organisational skills

� Excellent customer service skills

� A good team player

� The ability to communicate at all levels

� A polite and friendly manner with an excellent telephone manner

� Efficient and punctual

� English & Maths GCSE A – C grade or equivalent
