Job summary

Equality Diversity and Inclusion is a key priority for the King’s College Hospital and this role will support with the overall Equality, Diversity and Inclusion (EDI) agenda.

The post holder will provide professional and confidential administrative support to the EDI team. The post holder will also work closely with each network, acting as dedicated administrative resource to support their aims and objectives.

The post holder will support management in a variety of admin related projects arising from the needs of the service and the staff networks. Part of our work includes adhering to legislation, analysing and assessing NHS workforce standards and supporting staff resource groups.

Working across both professional, departmental and Trust boundaries, the post holder will need to have excellent communication and engagement skills.

Job responsibilities

Network Support and Development

  • Provide visible support to Network members progressing and/or resolving issues or signposting to other avenues of support
  • Act as a dedicated administrative resource for the staff networks in order to help realise aims and objectives.
  • Create and manage governance and administrative systems to support staff network needs.
  • Liaise with Network Chairs and officers on all matters relating to each staff network.
  • Facilitate and take minutes of network meetings / events.
  • Arrange network meetings as requested, organising the forward meeting schedule for drafting agendas, collecting papers, finalising agenda items and timings, confirming attendees, ensuring all necessary arrangements are made, such as room bookings, refreshments, etc.
  • Maintain action/activity trackers where required ensuring that information is continually updated liaising with the relevant stakeholders to record latest action status.
  • Receive highly confidential and sensitive information relating to staff network issues. Ensure such information is handled with care and tact. Using professionalism and judgement in all cases, redirecting where necessary.
  • Work with external Trusts and organisations ensuring best practice is brought into and embedded across Kings
  • Promote intersectionality between the networks by sharing ideas, resources and connections where appropriate.

Project Admin & Support

  • Support the EDI agenda in a variety of admin related projects arising from the needs of the service as identified by the EDI team.
  • Support, facilitate and monitor progress of projects within all staff networks.
  • Contribute to the coordination of and participate in relevant internal and external working groups and provide support where required.
  • Produce project plans for the development of the Networks and support various HR projects.
  • Understand project objectives and provide support in monitoring and measuring success criteria.
  • Support the preparation of regular project reports.
  • Provide regular progress reports to the EDI Delivery Group and other key stakeholders and follow up on action items.
  • Maintain project documentation and audit documents at regular intervals and make relevant updates and re-organisation.

Event Facilitation

  • Support events and ensure these events are showcased and celebrated across the Trust.
  • Work with the communications team to ensure diversity and inclusion pages intranet pages are updated.
  • Support and represent the Trust on national and local forums and other such Equality and Diversity activities

Management Support and Administration

  • Attend monthly Network meetings managing the agenda and actions.
  • To co-ordinate agendas, undertake minutes, collate actions and book rooms for EDI Delivery Group meetings and other meeting with remits relating to EDI
  • Support and coordination of the EDI Team meetings including agenda setting and action logs
  • Manage the mail box associated with each staff diversity Network and the EDI team.
  • Support and coordination of the EDI Delivery Group including preparation of papers, scheduling meetings and minute taking
  • Receive and process invoices relating to the EDI budget and ensure timely processing through the Trusts payment policy.
