Job summary
In this post you will provide administrative support to the Kent & Medway Social Partnership Trust Internal Safeguarding Team, specialising in the administration management of the work undertaken in the safeguarding team and administration management of the Mental Capacity Act and Liberty Protection Safeguards (DoLS until formal change over to LPS) and offer robust support to the Mental Capacity Act and Liberty Protection Safeguards Lead and Head of Safeguarding. The post holder will assist in the smooth-running of the service and taking a proactive role in supporting and organising the day-to-day functioning. In this role you will be expected to work independently and proactively without direct supervision using initiative to prioritise own workload exercising discretion as to the degree of urgency, importance and confidentiality required. You will be working flexibly at home and one site.
Main duties of the job
The post holder will support the Professional Lead for LPS, MCA and DoLS, and the wider safeguarding team to maintain an overview of Liberty Protection Safeguarding (DoLS until formal change over) and safeguarding concerns in the organisation whilst maintaining and monitoring multiple databases accurately. The post holder will support effective communication and admin functions to support the delivery of service on a day-to-day basis. The role will have dedicated time to deliver the LPS and MCA deliverables, and support the safeguarding administration functions.

Job responsibilities
RESPONSIBILITY:
- To act as the main point of administration contact for the LPS and MCA Lead and as required the safeguarding team, dealing with quires and routine enquires tactfully in a professional manner.
- Redirecting any enquires accordingly to the team members depending on their availability in a timely manner.
- To develop and maintain recording of data on in-house systems (such as RiO), data bases and filing systems; both computerised and manual ensuring these comply with Data Protection and Information Protocols.
- Providing and receiving complex information
- Support the team with administrative duties with the monitoring of phone calls, emails, letters, management of electronic diaries as needed.
- Assisting the MCA and LPS Lead with preparation of in-house training such as producing PowerPoints and handouts.
- To maintain all databases held on raised Safeguarding alerts from KMPT and Deprivation of Liberty Assessments on a monthly basis. This includes collating the data into graphic reports with supporting narrative for presentation to all service lines.
- To liaise with teams, establishing and maintaining effective working relationships with internal and external stakeholders with support from the LPS and MCA Lead
- To screen LPS, MCA and Safeguarding referrals/alerts sent to the Safeguarding Team ensuring they are sent to the appropriate Local Authority and that the full process is followed. Sending polite reminders to staff whom do not complete the process successfully. Recording all received alerts accordingly to the appropriate database.
- To screen Child Protection Conference invites received on a daily basis to filter known users to KMPT. If known, sending the invites onto the appropriate Mental Health professionals and liaising with the Community Mental Health and Social Care teams to ensure attendance and reports are submitted to conferences. Ensuring all invites are recorded and uploaded to service users clinical documentation and progress notes documented of appointments where necessary.
- To carry out other appropriate delegated duties as required.
- Flexibility to support any new trainees where necessary.
- To identify any role challenges or conflicting priorities and discuss with the Head of Safeguarding for support.
- Manage the LPS role as the priority with the MCA and LPS Leads support.
- To hand-over the MCA and LPS administration duties to the Professional Lead for LPS and MCA when on annual leave
