An opportunity has arisen to join our dynamic, forward-thinking reception team here at Jubilee Medical Group offering services to all patients in our local Primary Care Network 365 days of the year. This role is fast paced and requires a motivated individual who can act in a professional and friendly manner whilst carrying out any assigned tasks.

Main duties of the job

Offer general assistance to the practice team andproject a positive and friendly image to patients and other visitors, either inperson or via the telephone.

Receive, assist and direct patients in accessingthe appropriate service or healthcare professional in a courteous, efficientand effective way.

Undertake a variety of administrative duties toassist in the smooth running of the practice, including the provision ofsecretarial and clerical support to clinical staff and other members of the practiceteam.

About us

Jubilee Medical is an established GP practice based in Newton Aycliffe with branch sites in Shildon and Eldon Lane. We run many clinics for the management of chronic diseases such as asthma and diabetes and offer a wide variety of other medical services including antenatal and postnatal care, minor surgery, childhood vaccinations and well-person check-ups. The practice is also passionate about providing additional services to our local community, currently offering consultant led Paediatric, Urology and ENT clinics, out of hours access service and home visits to all patients registered within our Primary Care Network. We also have a dedicated team of Advanced Nurse Practitioners supporting our local care homes ensuring our elderly population receive the appropriate clinical care and monitoring on a weekly basis. The practice has been operating as a Covid Vaccination Site since December 2020.

The purpose of the role is to:

Duties and responsibilities:

The duties and responsibilities to be undertakenby members of the practice administration team may include any or all of theitems in the following list. Duties maybe varied from time to time under the direction of the management team,dependent on current and evolving practice workload and staffing levels:

  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Clearing and re-stocking of consulting rooms as required
  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
  • Ordering, re-ordering and monitoring of stationery and other supplies
  • Dealing with clinical waste
  • Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
