We are recruiting a Flexible Administrator to support our Whiteleaf centre teams. 

We are looking for reliable, enthusiastic and dedicated individuals who pride themselves on providing excellent customer service to join our supportive and rewarding flexible staffing team. 

We currently have a role for a Flexible Administrator to work a temporary assignment until 12/2/2022 in the first instance, this is Monday to Friday 37.5 hours per week .

 You will be working on a Bank (0 hour base) contract with staffing solutions .

As a Band 4 Admin Flexible Worker within Oxford Health you will be allocated in one of our many and varied teams across the county.

Pending on the Temporary assignment you may need to;

  • To provide an efficient and effective comprehensive administrative support to the team/service
  • Provide a polite and efficient reception service to visitors if required.
  • To accurately type and distribute letters and other documents.
  • To ensure that high standards of data quality are maintained.
  • Setting up meetings, preparing agendas and minute taking as required.
  • Suggest and make recommendations for improvement to existing administration procedures.
  • To provide secretarial support to members of the team utilising a high level of IT skills to produce quality documentation to support the work of the team using the appropriate Microsoft software and adopting the Trusts corporate standards and style
  • To respond to email, telephone enquiries and written enquiries using a high level of initiative and responding in a confidential and sensitive way and action in the appropriate way.
  • To communicate confidential and sensitive information on patients and policy issues, and complex information on directorate issues to external agencies.
  • Co-ordinate the diaries of team members.
  • To raise and process invoices, tracking/monitoring of budgets as required.
  • To update patient records as required and ensure that the Trusts databases are up to date and all clinical data is entered appropriately.
  • To order, maintain and distribute equipment and supplies for the Team.
  • To collate staff records regarding training, annual leave and sickness leave etc.
  • To undertake any other duties as requested on behalf of the Team.

    Qualifications

    Essential criteria

  • IT skills to RSA3 / NVQ Level 3, or equivalent experience
  • BTEC/HNC or equivalent experience
  • English to GCSE or equivalent
  • Desirable criteria

  • Higher Education qualification i.e. ‘A’ Level/NVQ III standard) or equivalent/previous experience in an Administration Assistant role.
  • Knowledge and Experience

    Essential criteria

  • Good interpersonal skills, face to face and telephone manner
  • Proven experience of working in an office environment
  • Ability to produce good quality correspondence and reports
  • Organisational skills/managing diary systems and tracking information
  • Desirable criteria

  • Previous NHS experience
  • Proven experience of working in an office environment.
  • Technical Expertise

  • Experience with MS Office Applications (Word, Excel, Outlook)
  • Knowledge of secretarial and administrative procedures
