    Job Description

    This is an exciting opportunity to join a new Private Office team, supporting the CEO of the Government Property Agency (GPA.) You can be based in Birmingham or Manchester however you must commute to the Birmingham office twice per week.

    Key responsibilities include:

    Professional business management support for the CEO including managing the flow of work through the CEO’s office to Directors and Senior stakeholders including ministers. Maintaining plans, reviewing and prioritising incoming correspondence and actioning tasks and requests.

  • Owning a broad portfolio of policy and corporate responsibilities and acting as an advisor and bridge between the Private Office team, the GPA CEO and the wider unit.
  • Anticipating future business needs to enable the CEO and his Senior Leadership Team to operate effectively and efficiently, analysing business issues/problems and either implementing or recommending solutions.
  • Co-ordinating Directorate-wide responses to feed into larger returns ensuring commissioned material is received on time and is of acceptable quality. Identifying requirements, sources and gaps, minimising the direct impact on delivery teams.
  • Providing professional, timely and effective day to day management of inbox; ensuring that it meets the required standard; identifying issues as they arise and ensuring they are efficiently dealt with; make sure that the CEO is appropriately briefed and prepared for meetings/events in advance.
  • Building and maintaining effective working relationships across the GPA Directorates, wider Civil Service and senior stakeholders. Dealing with staff at all levels will require excellent interpersonal skills, a polite firmness, and an ability to react quickly to a changing environment, often thinking on your feet.
  • You may be required to undertake additional responsibilities as expected in relation to the role and grade.
  • The Successful Applicant

  • Managing multiple deadlines to tight timescales.
  • Experience of building productive stakeholder relationships, often bringing together people with differing views to develop consensus and support.
  • The ability to manage risks, issues, and changes; escalating and specifically proposing solutions, where required.
  • Excellent communication skills, both orally and in writing, with the ability to liaise with various personnel in the business.
  • Good business management experience including the ability to lead on support for meetings, directorate planning and team organisation.
  • Ability to quickly develop a sound knowledge and understanding of business priorities, ways of working and information management.
  • Can commute to Birmingham twice per week minimum.
