JOB ROLE: PA TO COMMERCIAL DIRECTORS – TEMP ONGOING

COMPANY: LUXURY FASHION BRAND

HOURS: Full time / 5 days a week in the office

SALARY : £18 per hour

LOCATION : London – West End

ROLE : The role is responsible for providing effective and efficient PA support to 4 Directors: Design MW Director, Partner Brands Director, Merchandising Director & Wholesale Director.

NEED TO BE IMMEDIATELY AVAILABLE

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

  • Pro-active management and organisation of multiple diaries. Ensuring rooms are booked, calls are set-up correctly, and the diary meets the expectations of the Directors. Anticipating their needs and relieving them of administration/co-ordination duties.
  • Constant email management. Including responding to emails as and when required, filing emails and responding on behalf of the Directors. Appropriately handling confidential information as necessary.
  • Creating briefing documents as and when required for meetings. Including any background research, briefing papers, reports, PowerPoint presentations, spreadsheets.
  • Managing the agenda, deck and minutes for Management Meetings.
  • Working with other PAs in the department to organise Function cascades (1200+ attendees).
  • To be the eyes and ears of the department and a reliable central point of contact for your departments Management Team.
  • Scheduling product review meetings on behalf of the Commercial Departments.
  • Work collaboratively and form relationships with PAs and colleagues from other functions in the business to support with your day-to-day role.
  • Liaising with external suppliers and brands in a professional and efficient manner.
  • Co-ordinating, organising and booking travel (UK and International) when required.
  • Lead on the planning and execution of Team offsites and events.
  • The management of all expenses for the Directors, including approvals.
  • Raising and managing POs on behalf of the department.
  • Shared cover with the other Commercial PAs when on annual leave.
  • Arranging and creating a monthly Commercial Newsletter.
