Job overview

We have a fantastic opportunity for a committed and hardworking Administrator who is willing to work flexibly and across service areas. The post is primarily based within the Oxfordshire children and young people (CYP) Eating Disorder Service based at Raglan House.

For a six-month period, the post will also provide maternity leave cover to a newly developing service, the PEACE Pathway, which works alongside the Eating Disorder Service as well as serving Buckinghamshire and Berkshire. 

The post is full-time (although part time hours can be considered) and will provide 0.4 time to CYP Eating Disorder and 0.6 time to the PEACE pathway work. (The PEACE cover will be for approx. 6 months, after which the post will be full time in the ED service).

PEACE pathway is a newly developed service for children and young people who have autism and an eating disorder, comprises a small team of clinicians supported by an administrator and operational manager.

We are looking for someone with a positive and compassionate approach to supporting patient care, where the postholder will be part of a busy service and will take responsibility for key administration duties, such as arranging meetings, room bookings, minute taking and managing the action logs. 

Main duties of the job

Your main duty will be to perform and take responsibility for key administrative duties such as arranging meetings, room bookings, minute taking and managing the action logs.

You will also be required to perform general admin duties for PEACE Pathway as well as the Eating Disorder Team where you will receive and make telephone calls, arrange appointments, review discharges, arrange Participation Groups, help with recruitment and administrative support for all staff within the team including working with the external stakeholders that interface with the service such as hospitals, schools, and social care. This post will also provide cover for other services as part of a pool of administrators for periods of leave and absence.

    Your key responsibilities include:

  • To provide administrative support utilising a high level of IT skills to produce quality documentation using the appropriate Microsoft software and adopting the Trusts corporate standards and style.
  • To provide administrative support for meetings as requested and to ensure follow up action is completed. This can include producing notes of meetings, setting up meetings, preparing agendas, ensuring that a bring-forward system of paperwork is maintained to ensure correspondence/information is available for meetings
  • To be aware of the Trusts Health & Safety Policies including the procedures for building evacuation and what to do in the event of an emergency within the building.
  • To facilitate good communication systems with teams within Raglan House, ensuring that information is disseminated appropriately and efficiently.
  • To accurately update computerised patient records as required. Maintain the security and confidentiality of information in line with the Data Protection Act, Freedom of Information Act and local policies and procedures
  • To communicate confidential and sensitive information on patients and policy issues, and complex information on directorate issues to external agencies.
  • To organise own workload and act independently within appropriate guidelines.
  • To recognise when advice and guidance is needed and to seek appropriate support from senior clinical and administrative staff. This will include having regular individual and group supervision.
  • To perform general office duties as required, responding to email & phone enquiries, answering the telephone, taking and recording messages accurately, responding to queries appropriately, following Trust procedures and protocols and organising the maintenance of the filing systems for the service/team.
