The Advancement Events team produces events for the Advancement and Alumni Engagement division. They work closely with clients and team members to design and produce successful events for constituent groups and alumni. This position will report to the Director of Advancement Events.

JOB DESCRIPTION:

  • Guides the planning and execution of events, functions, or meetings for an advancement and alumni engagement program.
  • Events may include but are not limited to: large-scale gala or formal events, dinners, receptions, luncheons, board meetings, large-scale community awareness fundraising events such as walks, races, and tournaments, chair dedications and professorship celebrations, welcome or farewell events for staff, reunions and alumni events, cultivation and stewardship events with programmatic elements, groundbreaking events, building dedications, and tours.
  • Events are designed to recognize and steward donors, increase fundraising, and/or increase participation rate.
  • Manages budget for department and/or events, determines financial requirements for events.
  • Works with vendors.
  • Identifies best practices and develops and recommends event operating procedures, timelines, logistical templates, and runs of show.
  • Reviews and/or approves event plans and concepts.
  • Creates task assignments for events and planning activities.
  • Manages invitation and attendance processes through CRM system.
  • May coordinate related travel for guest speakers and staff.
  • May manage simultaneous events across multiple sites.
  • Trains and manages internal and external event volunteers, including executive level leaders, host committees and large volunteer groups necessary for community awareness events.
  • Partners with division leadership to engage University leadership as appropriate.
  • Includes preparation of briefing materials, speeches and scripts and working directly with leadership and their offices.
  • Conducts post-event analysis to assess opportunities.
  • Recommends improvements for events and services;
  • implements recommendations as appropriate.
  • Debriefs management and other division staff on event outcomes.
  • Performs other related responsibilities as required.
  • Some night and weekend work is required.
  • Some travel may be necessary.
  • ADDITIONAL JOB DETAILS:

    In addition to the duties outlined above, the Associate Director may be required to:

  • Ensure continuity across internal and external communications to adhere to university brand standards.
  • Support team and school/unit leadership in managing special projects.
  • Perform frequent night and weekend work.
  • Represent the department working with other departments across the division/University.
  • MINIMUM QUALIFICATIONS:

  • A bachelor’s degree and three years of experience in event planning, OR a combination of education, experience, and training.
  • PREFERRED QUALIFICATIONS:

  • Successful candidates will possess strong organizational, written, and verbal communication skills and possess the ability to communicate sensitive information/feedback with tact and professionalism.
  • Strong interpersonal and problem-solving skills with a commitment to excellent customer service, and the ability to work collaboratively, and navigate a complex work environment.
  • Experience with budgets, various technologies including advanced knowledge and experience with Microsoft Office Suite, event management software, database and project management software, and CRM systems.
  • Prior experience in event design, planning/management, advancement, fundraising, alumni engagement, non-profit, or a university setting.
  • Possess a high level of professionalism and commitment to confidentiality with sound judgment and discretion.
  • Flexibility to accommodate changing priorities and deadlines.
  • NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department of work. Emory reserves the right to change remote work status with notice to employee.
