A fantastic opportunity for an experienced Executive Assistant to join a purpose-driven global investment organization with a passion for future-proofing companies on a 12-14 month fixed term contract (Maternity cover) role.
  
In the role as Executive Assistant, you will primarily be supporting a Partner and Managing Director in the Infrastructure team. You will proactively manage their calendars and travel arrangements, provide broad administrative support, and help organize and manage time effectively. The role is varied, and you should enjoy and thrive in a fast-paced and global environment.
  
The Role:

  • Provide high level support in calendar management and inbox management
  • Manage the chaotic schedules and calendars, using best judgement on priorities and timing
  • Oversee preparations ahead of meetings and assist in producing or edit meeting presentations (PowerPoint)
  • Take ownership and manage all travel, expense reporting, time tracking, contact management
  • Assist Business Professionals with projects to foster our network and brand, including networking events, special dinners, conferences, etc.
  • Coordinate with other internal teams and assistants, and providing backup for other assistants when necessary
  • Building cross-functional relationships between departments
  • Preparing expense reports/invoicing and purchase requisitions

The Essentials:

  • A minimum of at least 4+ years Executive Assistant experience
  • Previous experience within financial services is preferred
  • Strong scheduling and travel coordination skills
  • Ability to pivot quickly, anticipate needs, and execute autonomously, with strong attention to detail and a “can do” attitude 
  • Excellent communication skills and perceptiveness
  • Quality driven, ability to multi-task, prioritize, and have a high sense of urgency
  • Ability to interact with a wide range of teams internally and externally at all levels
  • Experience organising events in a bonus
