  • Proactively manage the Director’s diary, resolving frequent competing interests and changes, and ensuring that meetings are the best use of time and energy, with reference to the core strategy of the university Advancement, while managing the expectations of those requiring time.
  • Filter electronic and postal mail, responding where possible on the Director’s behalf, identifying and efficiently flagging matters that require urgent attention, and ensure other matters are dealt with by others if possible and as appropriate.
  • Develop, manage and maintain appropriate filing systems for the Director’s documents, correspondence, emails and electronic files, including effective use of bring forward.
  • Liaise closely with the team heads within the Alumni, Supporter Engagement and Operations function, ensuring that tasks involving the Director are carried out and that accurate and helpful information is conveyed in a timely manner.
  • Schedule and organise meetings on behalf of the Director, including School-wide committees and other groups related to alumni and supporter engagement and operations, ensuring that the Director is prepared. Take minutes at meetings involving the Director where required, and assist with follow-up as needed, including drafting emails.
  • Process invoices and manage expenses claims in accordance with the School’s financial procedures and regulations.
  • Advise the Director on internal School administrative processes and procedures
  • Assist the Director with any recruitment, inductions and other HR-related matters required for her direct reports. Liaise with the relevant colleagues to ensure correct processes are followed.
  • Carry out research and projects as required to complement the workload of the Director.
  • Represent the Director in appropriate working groups within the Philanthropy and Global Engagement Division and within the School as appropriate.
  • Participate in internal and external networks, building ongoing and effective relationships with a wide range of contacts to ensure the continued smooth operation of Philanthropy and Global Engagement.
  • Undertake some Office management duties from time to time.
