£24,000 – £26,000 per annum

Working Hours: 40 hours per week, Monday to Friday (excluding unpaid daily breaks)

Established in 1945, Reynolds Catering Supplies provides more than 3,000 different types of fresh produce and chilled foods, from around the world to businesses across the UK.

A new role has arisen within our Fleet Department, for a Fleet Administrator to provide pivotal day to day administrative support to the Fleet Team and Distribution teams, ensuring the professional efficient management of the Groups Fleet of vehicles.

Accountabilities:

  • Maintain and schedule all servicing for the Waltham Cross fleet.
  • Maintain service planner in line with O licence compliance. 
  • Communicate vehicle breakdowns to suppliers, Distribution, Fleet Manager and Customer Services.
  • Ensure O licence, Insurance MID, congestion charging, are up to date for all depots.
  • Ensure ULEZ, DVS permits, Dart Toll and M6 Toll vehicles are up to date.
  • Manage day to day breakdowns.
  • Daily defects management – to ensure smooth operation of the fleet and vehicle availability, communicate with the DSMs on vehicles off road.
  • Maintain the vehicle register and hire vehicles.
  • Road taxation of all company fleet.
  • Support with management of the Fuel system and stock levels.
  • Assist depots with general fleet admin support, with telematics companies and small parts stock required.
  • Support the fleet Compliance Manager when on leave with general fleet administration duties, management of accident claim forms and communication with our insurance company.
  • Raising of purchase orders and management of costs with Fleet Managers.
  • Management of new employee (drivers) updates on the telematics systems.

To be successful in your application for the role, you will need to be able to demonstrate the following skills & experience.

  • A good general education, GCSEs including English language and Maths with grade C or above in both.
  • Previous experience within an administrative role is essential (ideally in the logistics industry)
  • Knowledge of Fleet/Vehicle compliance processes and procedures would be advantageous.
  • Accurate attention to detail and outstanding organisational skills.
  • Excellent verbal & written communications skills.
  • A great relationship builder, experienced in dealing with internal & external stakeholders.
  • Computer literate, with a good working knowledge of MS Office applications, particularly Excel.
  • Confidentiality, tact & reliability.
  • Ability to prioritise, multi-task and meet deadlines.
  • The ability to work as part of a team as well as on own initiative.
