Facilities Clerical Officer

Band 2 – Permanent Position 

I work at Tameside and Glossop Integrated Care NHS FT as a Facilities Clerical Officer. I work Various Hours on an Electronic Roster System. My day usually is 9-5pm this helps give me a work/life balance. I work as part of the Facilities Department reporting to the Business Manager, I am part of a department supporting the Trust with a Team of Admin staff.

I am based in the Charlesworth Building, Facilities Office. I work as part the Admin Team and sometimes have contact with staff or relatives as I work on the helpdesk.

The post holder will be required to work as part of the Facilities Team, providing an efficient clerical service to the Department.

Full time hours Mon-Fri, 9-5pm, Flexibility is required to cover the service if required.

Main duties of the job

SECTION 1 – MAIN RESPONSIBILITIES

To provide clerical support to the Facilities Department, duties to include typing, photocopying, filing, answering internal and external telephone calls, diary management, and other office duties.

To provide Facilities hub reception duties and assist with enquiries face to face or via the phone, presenting an excellent customer service provision.

To help to arrange meetings, put together agenda items, record, type and distribute minutes of the meetings.

Appropriate use of Information Technology Systems, to include e-rostering.

Assist the team, to maintain good office systems and practices.

Assist the team to maintain stationery stock control for the department, place orders on NHS Supplies and other ordering systems.

Close co-operation and flexible working practices with the team and other 
departments across the organisation.

To respond and embrace requirements to change in working practice due to service developments and on occasions work in other areas from your base area.

Using own judgment and to prioritise tasks allocated by line managers.

Any other duties commensurate with the role and in line with the requirements of the post.

1. To have good interpersonal skills and to communicate effectively.
2. To be aware of current guidelines and the impact these have on day to day practices.
3. To be proficient in the use of IT systems.
4. To work to current policies/guidelines.
